Documents Committee
The Documents Committee is responsible for keeping the community's Declaration, By-laws and Rules up to date.
5/9/13 Documents Committee Charter as Approved by the Conservancy Board at the April Meeting:
The Documents Committee is responsible for keeping the official electronic copy of the Declaration, the By-laws, and the Rules up to date as directed by the Conservancy Board.
The committee's function is primarily clerical. All content and wording of the documents is the responsibility of the Conservancy Board as is called for in the documents, or the responsibility of a council as is allowed in the Rules Document.
The Committee may make recommendations to the Conservancy Board or to a Council Board regarding any addition, change, deletion, etc., to a document.
All additions, changes, deletions, etc. requested by the board or a council will be drafted by the committee and submitted to the board or council for final draft approval.
The committee will then work with the property management company and the Communications Committee to adhere to procedures called for in the documents for notification, comment, and approval.
Upon completion of that process, if adopted, the article will be incorporated into the official electronic copy of the appropriate document. The updated document will be sent to the Communications Committee chairperson for posting to the website. The updated document will also be sent to the property management company for their records and for use in Resale Certificates.
The Documents Committee will be responsible for organization and storage of all documents or records of the Conservancy, working in concert with the property management company.
